Our Process & How Our Team Works
How the Relationship Begins
Every project starts with an initial connection through our website or with our office manager. At this stage, we gather critical information about the project such as location, scope, timing, and general budget expectations. This allows us to determine whether the project is a good fit for our team and whether it makes sense to move forward.
If the project is not a fit, we will clearly communicate that and, when possible, offer a referral to another professional. If it is a potential fit, the project moves to the next step.
Initial Owner Meeting & Project Fit
Once a project passes initial screening, Colton meets directly with the client. This meeting is focused on:
understanding the full scope of work
clarifying goals, priorities, and constraints
discussing timing and general approach
At this meeting, Colton provides a same-day ballpark estimate based on experience and the information gathered. This number is intended to determine alignment, not to lock in final pricing.
If the ballpark range is not acceptable, we pause the process respectfully. If it is acceptable, we move forward.
Formal Estimate, Agreement & Deposit
When the ballpark estimate is approved, the owner prepares a formal written estimate and agreement. This is delivered digitally, where it can be reviewed, signed, and documented. A deposit is required to move the project into active planning.
Once the agreement is signed and the deposit is received, the project enters pre-construction.
Pre-Construction, Planning & Permitting
During pre-construction we:
work through plans and design coordination
manage permitting and approvals
complete a pre-construction checklist
confirm scope, selections, and logistics
Construction does not begin until all required approvals are in place and the project is ready to move efficiently.
Project Management & Construction Phase
Once the project is approved for construction, the Project Manager Peter Dow takes the lead.
The Peter becomes the primary point of contact for:
scheduling
crew coordination
materials
subcontractors
approved change orders
Our construction approach uses specialized crews and leapfrogging scheduling. We plan to:
start projects efficiently
get buildings weather-tight
sequence work based on inspections, materials, and weather
return when conditions make sense for quality and efficiency
This approach allows us to maintain flexibility, manage supply delays, and complete interior work during winter months when appropriate.
Even when crews are not on site daily, the project is actively managed behind the scenes.
Communication & Billing
Our office manager Hannah is the first point of contact for most client communication and billing questions. This allows the team to respond quickly and efficiently.
The office manager will either:
answer questions directly, or
route them to the appropriate team member for follow-up
Billing is handled through the office and coordinated with the project manager to ensure clarity and accuracy.
Final Walkthrough & Close-Out
As the project nears completion, we schedule a final walkthrough with the homeowner and Colton. Together we:
review the completed work
create a final punch list
address any remaining items
discuss lessons learned and future improvements
Once final items are completed, the project is closed out with a clear path forward for future work or maintenance.
